This is what lands in your inbox after every visit
Most contractors ask you to trust that the work was done. KELVON sends the evidence. Every scheduled visit produces a GPS tagged site report the same day, and every site carries a running maintenance log that builds your compliance record automatically.
Industry guidance now tells facility and strata managers to ask every contractor for a sample report before signing. You do not have to ask. Here it is.
1. Site visit report
Issued within hours of every scheduled visit. Sample below is representative. Client name and address are anonymised.
| Zone | Work completed | Condition | Status |
|---|---|---|---|
| Main entry & gatehouse | Turf cut and edged. Sightline vegetation cut back at boundary fence line. | Sightlines clear both directions | Complete |
| Truck marshalling yard | Licensed herbicide application to hardstand cracks, kerb lines and fence base. | Growth controlled | Complete |
| Loading dock apron | Debris and litter cleared. Two stormwater grates cleared of leaf build up. | Drainage free flowing | Complete |
| Staff car park islands | Beds weeded, mulch topped where thin. Low branches lifted clear of parked vehicles. | Clear | Complete |
| Northern perimeter | Fence line sprayed and cleared to 600mm. | CCTV sightline restored | Complete |
| Southern boundary | Not treated this visit. Grass encroaching on shared path edge. | Edge breaking down | Monitor |
| Eastern drain channel | Sediment build up observed. Outside scheduled scope. | Partial obstruction | Action req. |
Operator notes. Eastern drain channel sediment is building faster than the last two visits and is outside the current scope. Recommend a one off clear before the next heavy rain. Quote available on request. No other safety observations. Site left clean, all green waste removed.

Every photograph is GPS tagged and time stamped at the point of capture. Nothing is staged, reused or supplied from another site.
2. Running maintenance log
One log per site, updated after every visit and issued with each report. It is your maintenance history, your audit trail and your evidence file, built without you touching it.
| Visit | Scope delivered | Issues raised | Resolution |
|---|---|---|---|
| Visit 06 | Full programmed scope. Perimeter spray, entry sightlines, dock apron, car park beds. | Eastern drain sediment. Southern boundary edge. | Drain quote issued. Boundary edge scheduled next visit. |
| Visit 05 | Full programmed scope. Additional leaf clearing after storm event. | Storm debris across staff car park. | Cleared same visit at no additional cost. Photographed. |
| Visit 04 | Full programmed scope. Hedge reduction at main entry. | Hedge obstructing signage sightline. | Reduced and reshaped. Sightline restored. Closed. |
| Visit 03 | Full programmed scope. First herbicide cycle on marshalling yard. | Weed growth through hardstand cracks. | Treated. Recheck scheduled. Closed at visit 04. |
| Visit 02 | Full programmed scope. | None raised. | — |
| Visit 01 | Baseline service. Site condition documented across all zones. | Baseline photographs captured for all zones. | Reference set established for ongoing comparison. |
Why the log matters. When your insurer asks whether the site was maintained, when a safety auditor asks for evidence, when head office questions the spend, or when an owners corporation committee asks what they are paying for, the answer is already written and photographed. You are not reconstructing it from memory or chasing a contractor for records they never kept.
How often you receive them
Site visit report
Every scheduled visit, without exception. Issued the same day, usually within hours of the crew leaving your site. If we attended, you get a report. If you did not get a report, we did not attend.
Maintenance log
Updated after every visit and reissued with each report, so the current version is always the complete version. No quarterly catch up, no annual summary written from memory.
Compliance pack
Site specific SWMS before commencement, and $20M public liability certificates sent proactively on renewal. You never have to request either one.
The reporting is not an add on and it is not a premium tier. It is included in every fixed price KELVON contract, because a contractor who will not show you the evidence is asking you to take their word for it, and taking a contractor at their word is how sites decline quietly for eighteen months before anyone notices.
